Exporting Itineraries to PDF or Word

You can export an itinerary as a PDF or a Word document (which can also be used as a GDoc). The export dialog lets you choose exactly which sections and details appear in the exported file.

Export as Word / GDoc

  • Editable document format
  • Icons are not included in Word exports
  • Some PDF-only toggles are not available
  • GDoc is shared as a link rather than downloaded

How to export an itinerary

  1. Open the itinerary you want to export.
  2. Click the Export button and choose Export itinerary as PDF or Export itinerary as Word.
  3. Review the visibility toggles in the dialog. These control what appears in the exported file.
  4. Adjust any toggles as needed, then click Export

Your settings are remembered

Any changes you make to the toggles are automatically saved for that itinerary. The next time you export the same itinerary, your last-used settings will be pre-filled.

Tip: Exclude Images and Descriptions, but include Final itinerary details in the PDF export to have a travel voucher view of the itinerary.

Customise the export using itinerary display settings

You can customise some export settings before you open the Export as dialog. These can be set either at the item/resource level or via the Customise itinerary display dialog. 

Display as full page

You can define whether an Item or Resource appears as a full page on the PDF itinerary export. To achieve this;
  1. Go to the Itinerary Preview
  2. Click the pencil icon to open the Edit preview dialog
  3. Tick the Display as a full page when the itinerary is exported checkbox
  4. Save.

Exported Image

You can define a an image for booked item which will appear on a separate page after the item details in the exported itinerary. For best results the image should be at least 2480×3508 pixels.
To achieve this;
  1. Go to the Itinerary Preview
  2. Click the pencil icon to open the Edit preview dialog
  3. Browse and select the required image
  4. Save.

Cover image

The PDF cover page is an A4 image that, if uploaded to an itinerary, will appear as the first page of your exported PDF itinerary. If no cover image is attached then the Front page will be the first page of your exported PDF itinerary. The Cover image should be at least 2480×3508 pixels and will export edge to edge in A4 format. 

Front page

The Front page replicates the Hero section of the itinerary Preview by displaying Itinerary name, Hero image and the Itinerary Start and End dates. Below this information we include the travel designer details and an iteration of the itinerary footer information. This is fully adjustable at the itinerary level. Anything included in the left-hand section of the itinerary footer shows up on the inner cover. 

Defaults set by your organisation

The initial toggle values in the export dialog reflect your organisation's default export settings, as configured by your admin. If you want to change the defaults across your organisation, contact your admin.
