Share itinerary to Google Docs

Tourwriter allows you to send your itinerary Google docs. You can customise the output by Including or Excluding certain fields before sharing with travellers or agents.

Setting up the Google Docs integration

A User with Admin permissions can connect their Tourwriter organisation to a single Google account
  1. In Tourwriter, click Organisation in the sidebar
  2. Go to the Integrations tab
  3. Click Connect next to the Google Docs integration option
  4. Follow the prompts to sign in and authorise your Google account with Tourwriter
  5. Once successfully connected the Configure button and the google accounts email address will appear next to the Google logo on the integrations tab

Configure your Google docs integration

Once the Google account is authorised you need to confirm which Drive folder you will send itineraries to using the Configure function.
  1. Navigate to your Google Drive and copy the URL for the folder where itineraries sent from Tourwriter will be saved
  2. Navigate to the Integrations tab in Tourwriter
  3. Click Configure next to the red Disconnect button to open the Configure Google Docs integration dialog
  4. Paste the folder URL into the available field
  5. Click Update
Note: Ensure the selected folder has Edit permissions.


Send Itinerary to Google docs

  1. Open an itinerary and navigate to the Share settings dialog by clicking the Share button.
  2. Select Send to Google Docs
  3. Choose to Include or Exclude items listed below
    ItineraryID: Includes or Excludes the ItineraryID
    Images: Includes or Excludes images for Introduction and Items(Bookable and non bookable). Note, Itinerary logo, Itinerary Hero image and PDF cover image will be shown even if Exclude selected.
    Descriptions: Includes or Excludes the Item description.
    Supplier details: Includes or Excludes Supplier contact and Website information. User can custom select Products to include/exclude details using the Custom button.
    Dates: Includes or Excludes Itinerary dates and Item dates.
    Times: Includes or Excludes Item times.
    Pricing: Includes or Excludes Itinerary Total price, Price per traveller and Agent total price based on the selection in Pricing tab-> Pricing display options.
    Payments timeline: Incudes or Excludes Payments timeline. Payments timeline is only displayed if Pricing(above) is included and Show payments timeline on the itinerary is ticked in Payments-> Incoming payments.
    PDF page footer: Includes or Excludes the PDF page footer text from Organisation-> Customise-> [selected Brand]-> PDF page footer
    Terms and conditions: Includes or Excludes the Terms and conditions set for the Itinerary.
    Start each day on a new page: Each Itinerary day will start on a new page in the Word document.
  4. Click the Send button.
  5. Click View itinerary to open the Itinerary in Google docs or select Close, to close the dilog.

Important information: 
Some fonts may display bolder than they do in the itinerary preview or PDF
Compatible with Microsoft Word, there may be layout issues with other third-party word processors (e.g. OpenOffice)
