How to create an itinerary
Overview
It's time to get down to business and get started on the itinerary build process! In this article we're going to cover through the intiial setup of an itinerary and how to add collaborators - travellers, agencies and colleagues.
Step-by-step
1. Once you've logged into Tourwriter. Click on 'Itineraries'.
2. Click on 'Create an itinerary'.
3. This will open up a new itinerary.
Enter the setup detail including Itinerary name, start date and end date.
Top tip: It's a good idea to use a naming convention for your itineraries. This could be something like [itinerary name] - [customer last name] i.e. South Island Winter Escape - Parker Family.
4. Select your map type. Tourwriter uses a Google Maps integration to show services plotted on google maps in the itinerary 'Preview' tab and when you share the itinerary with your customer.
Select the dropdown arrow next to 'Map type' and 3 options will appear:
Show all services on map
Show only accommodation services on map
Hide map
This is what the map looks like in the itinerary 'Preview' tab if you have selected 'Show all services on map'.
5. Click 'Save'.
A series of new options will now be available under the 'Setup' tab, scroll down to view these.
Internal references
Tags make it easier to search for itineraries in both the global search and the itineraries search. You may want to search for an itinerary to get inspiration for other customers, or to duplicate it.
Tags: General tags e.g. what type of customer the itinerary is for - honeymoon, family, 4-person, couple
Location Tags: Tag the country or cities that you may want to search by
If you're building the itinerary for an agent you can add in the agent details to the itinerary. The agent must be in your 'Contacts' to be able to add them to an itinerary.
1. Click 'Add agency'.
2. Search for the agency or agent.
3. Click 'Save'.
4. The contact/agency contact you've added will now show on the itinerary 'Setup' tab.
2. You can also add the total number of travellers in an itinerary (this is not automatically calculated and must be manually entered).
