Setting up and managing agencies

InfoAgencies in Tourwriter let you manage your B2B relationships — overseas travel agents, retail agencies, and trade partners — in one place, with commission settings and agent contacts linked directly to your itineraries.

Setting up agencies

Enabling agency management

Agency management is disabled by default. To turn it on, go to Organisation settings and enable it there. Once enabled, an Agencies tab appears in your navigation.

This action cannot be undone, so confirm you want to proceed before enabling it.

Creating an agency

When creating a new agency record, complete the following fields: business name, primary email, website, mobile, phone, and address. You can also select a commission setup, add tags, and include notes. Each notes field has a 255-character limit.

The commission type and percentage you set here becomes the starting point when you add this agency to an itinerary — but you can override it at the itinerary level.

Managing agent contacts

You can add agents to an agency in two ways: select an existing contact from your contacts library, or create a new contact directly within the agency record.

Each agent contact can only be associated with one agency. When you link an agency to an itinerary, you'll select one agent contact from that agency to associate with the booking.

Managing your agency library

Editing an agency

You can edit agency details, commission settings, and agent contacts at any time. Changes apply only to new itineraries — existing itineraries keep their snapshotted commission setup (see Configuring agency commission on itineraries).

Archiving and restoring agencies

To remove an agency from your active library without deleting it, archive it. Archived agencies can be restored at any time using the Show archived toggle in the agency list.
