Vamoos integration for Tourwriter

Send your itineraries to the Vamoos travel app

The Tourwriter and Vamoos integration gives your travellers a premium travel app experience with no double data entry. It is available to customers with a Vamoos account. To request a demo of Vamoos or turn on the integration, contact support or your customer success executive.

What you can do

  • Send your itinerary to Vamoos in a few clicks.
  • Maintain and edit the itinerary in Tourwriter and send across an updated version when needed.
  • Choose how the trip shows in Vamoos, by day or by item.
  • Add the airline and flight number, and travellers see gate changes and delays.

What travellers can do

  • Open the trip in the Vamoos app on their phone.
  • View the trip offline. Once downloaded, maps, documents, and details work without signal.
  • See flight updates.
  • Find documents in one place. Boarding passes, visas, hotel confirmations, and vouchers.
  • Get alerts for pickup times and flights.
  • Open the trip by link, in a browser, or in the iOS or Android app.

How sending updates works

InfoTourwriter sends your itinerary to Vamoos. The integration works in one direction. The trip in Tourwriter is the copy you work from. Each time you send, Tourwriter replaces what was previously in Vamoos.

If you edit the trip in Vamoos, that edit is replaced the next time you send from Tourwriter. Make the edit in Tourwriter, then send again.

To send a document to Vamoos every time, attach it in the Preview section of your Tourwriter itinerary.

Setting up the Vamoos integration

A user with Admin permissions can connect a Tourwriter organisation to a Vamoos account. You need your Vamoos API key. See the section below on how to find this.

Steps to set up the integration are as follows.

  1. In Tourwriter, click Organisation in the sidebar.
  2. Go to the Integrations tab.
  3. Click Connect next to the Vamoos integration.
  4. Add your API key.
  5. Click Connect to authorise the account.

After you connect, the Vamoos account and email show next to the Vamoos logo, and the Disconnect button shows.

Info. If the Connect button is grey and does not work, your organisation needs to have this feature turned on. Talk to your customer success executive.

Find your Vamoos API key

Follow the steps below to find your Vamoos API key.

  1. Log in to the Vamoos Operator Portal at portal.vamoos.com.
  2. Click the user icon, usually in the top-right corner, and select Account settings.
  3. Click the orange Generate API Key button.
  4. Copy the key. It shows once, so copy it now. Paste it into Tourwriter to connect.

Send an itinerary to Vamoos

Once the integration is connected, you can send the itinerary to Vamoos using the Share menu in an itinerary. Follow the steps below.

  1. Open an itinerary and click Share.
  2. Select Vamoos. The Send this itinerary to Vamoos window opens.
  3. Choose how items show as storyboards. One storyboard per item, or all items from the same day in one storyboard.
  4. Choose to include or exclude the descriptions.
  5. Click Send.
  6. Click View itinerary to open it in Vamoos, or Close to close the window.

Send to Vamoos again

Warning
Sending again replaces the trip in Vamoos. Edits made in Vamoos are lost
  1. Open the itinerary and click Share.
  2. Select Vamoos.
  3. Choose by item or by day.
  4. Choose to include or exclude the descriptions.
  5. Click Update.
  6. Click View itinerary to open it in Vamoos, or Close to close the window.

You can display the itinerary in two ways, by item or by day.

By item, the default

Each item is sent as its own storyboard.

Example

  • Hotel check-in
  • Dinner reservation
  • Guided city tour

Each item shows as a separate storyboard in Vamoos.

By day

All items on the same day are grouped into one storyboard. One day can hold the hotel check-in, sightseeing, and dinner together. This gives travellers one card per day.

Example, 12 June

  • Hotel check-in
  • Afternoon sightseeing
  • Welcome dinner

These three items show together in one storyboard for 12 June.

When you choose by day, the following formatting will be applied.

  • The storyboard image comes from the first item of the day that is not a transfer.
  • The storyboard location comes from the first item of the day that is not a transfer.
  • Single-day items do not show the date in the content. Multi-day items, such as accommodation, show dates.
  • Items show in the same order as in Tourwriter.
  • A separator sits between items.
  • Tourwriter item titles show in bold in Vamoos.
  • Flights stay separate and are not grouped.
  • The storyboard header shows the date.

Flights

A flight shows in the Vamoos flight section only when its details are complete in Tourwriter. Flights always stay separate and are not grouped with other items.

To send a flight to Vamoos, fill in these fields on the flight item, then send the itinerary.

  1. Open the flight item in your itinerary.
  2. Add the departure date.
  3. Add the departure airport.
  4. Add the arrival airport.
  5. Add the airline.
  6. Add the flight number.
  7. Send or update the itinerary to Vamoos.

If any field is missing, the flight does not show in the Vamoos flight section.

When all fields are filled in, Vamoos shows the flight number, airline, departure airport, scheduled departure date and time, arrival airport, and scheduled arrival date and time.

Disconnect your Vamoos integration

A user with Admin permissions can disconnect a Tourwriter organisation from the Vamoos account.

  1. In Tourwriter, click Organisation in the sidebar.
  2. Go to the Integrations tab.
  3. Click Disconnect next to the Vamoos integration.

FAQs

How do I know the Vamoos integration is active?

On the Integrations page, the grey Connect button shows as a red Disconnect button. When you click Share in an itinerary, the Vamoos option works.

Can I connect more than one Vamoos account to Tourwriter?

No. You can connect one account. More than one Tourwriter user can use it.

Can I edit the itinerary directly in Vamoos?

You can, but Tourwriter holds the copy you work from. Edits made in Vamoos are replaced the next time you send from Tourwriter. Make edits in Tourwriter, then send again. To keep a document in Vamoos every time, attach it in the Preview section of your Tourwriter itinerary.

Where do images from the Itinerary Preview show in Vamoos?

An image attached in the Preview section of a Tourwriter itinerary is sent to Vamoos as a document in the storyboard. It does not show as a photo or in a gallery. Travellers open it from the Documents section.
