Using itinerary Templates

Templates are a type of itinerary made up of one or more items that can be added to another itinerary as if you were adding a single Item. A library of templates could be useful for building a large itinerary quickly. Customers can organise their templates library using a naming convention, tags, price and duration to label and make searching for the template when you need it.


Detailed list of Template tabs and fields

Templates are based on the itineraries structure with a few tabs and fields missing so creating and building a template will be very familiar. Below is a list of differences to itineraries:
  1. Setup tab
    1. Template name, Internal ref, ID, and Owner details are ignored when the template is used
    2. Removed Status, Contributors, Agency and Travellers panels
  2. Build tab - works just like an Itinerary
  3. Pricing tab - works just like an itinerary
    1. Item prices are copied to the new itinerary
    2. The Itinerary display price does not copy to the new itinerary
  4. Preview tab - works just like an itinerary except:
    1. Hero section is removed
    2. Preview edits are copied to the new itinerary

Creating a template

To create your first template, navigate to the Itineraries tab and then click on the Templates sub tab heading: 
  1. Click the Create template button.
  2. Add details for Template name, Start date and End date.
    1. The date fields will be used for pricing when adding items later.
    2. The Start date appears on the Templates table and search results.
  3. When you click Save a new template will be saved to the templates list and the template will be opened on the Setup tab.
  4. Add Tags to help identify your templates when searching in the Builder
  5. Build you template as you would an Itinerary
    1. Template duration appears on the Templates table and search results.
  6. Edit pricing as you would an Itinerary 
    1. The Display price appears on the Templates table and search results.
  7. Edit descriptions or images via the Preview tab as you would an Itinerary

The templates table

All templates display in Created date order on the templates table and customers can use the search function to search and edit/archive/delete a template

The templates table has data for the columns listed below :
  1. Name - The template name applied on the Setup tab.
  2. Price - The Display price from the Pricing tab.
  3. Start date - The Start date applied on the Setup tab.
  4. Duration - The day number assigned for the last day of the itinerary on the Build tab.
  5. Tags - The tags applied on the Setup tab.
  6. Created date - The date the template was created.
Note: You can archive or delete a template. See below.

Add a template to an itinerary

If you have created a template you are able to search and add templates just like you would search and add a Product or Resource. Open an itinerary and head to the Build tab:
  1. Navigate to a day and click the + button to open the Add item dialog.
  2. In the dialog navigate to and click the Templates subtab.
  3. Into the search field type a template name, or reference or tag and click Search.
  4. Navigate to your preferred template result and click the + button to select this template and open the Add template dialog
  5. Review the list of items, the prices and dates applied. Clicking Save will add each item as if it was added one by one manually. Clicking Cancel button will return you to the search results.
Note: Item prices will automatically lock when added to ensure template prices aren't accidentally refreshed by the pricing engine until a User specifically unlocks them.
Note: Items can only be added in bulk. Removing items can be done item by item.

Archive or delete of a Template

If you no longer need a template or created a template in error you can archive to hide the template from view or delete the template to remove it completely. These options are available from the templates table on the templates sub tab.

To add a template to the Archived view:
  1. Navigate to a template you wish to Archive
  2. Click the ... More for that Template
  3. Select the Archive option
  4. The selected template will be removed from the Templates list
Note: To review and restore archived templates click the Show archived toggle on the templates table and select the Restore option

 To delete a template permanently from your Organisation:
  1. Navigate to a template you wish to Delete
  2. Click the ... More for that Template
  3. Select the Delete option
  4. Read the delete warning and click the Yes, delete button or Cancel.
Note:  After clicking Yes, delete the template will be permanently deleted from your Organisation. This cannot be undone.
