Supplier Cancellation Policy

This article explains how you can add and save a Supplier cancellation policy and then how this can be usefull when that Supplier is added to an Itinerary.

Supplier cancellation policy setup

 To setup a Supplier cancellation policy:
      1. Open the Supplier-> Setup tab.
      2. In the Cancellation policy section.
      3. Enter the cancellation policy text and select the Display when adding item checkbox if desired.
      4. When finished your changes will automatically Save when leaving the page.

When the Display when adding item checkbox is ticked, a warning will be displayed at the time of adding the Supplier to an Itinerary. This warning will display inconjunction with any supplier or product restrictions.

Using Cancellation Policies in the Itinerary

Auto-Populating Cancellation Policies from the Supplier

When a user adds a Supplier which has a cancellation policy to an Itinerary from the Build tab, the policy is automatically copied into the Bookings tab under:
Edit Booking → Cancellation Policy
This helps ensure that Policy terms from the supplier are included in each relevant booking, without requiring manual re-entry.

Editing the Cancellation Policy at the Booking Level

Once copied into the booking, the cancellation policy can be edited directly within the Bookings tab-> Edit Booking section. This allows users to tailor cancellation terms for a particular traveler or situation, while preserving the default Policy for future use.

⚠️ Note: Editing the cancellation policy here will not affect the original policy stored at the supplier level. Changes made are specific to the individual booking only.

Traveler Visibility

By default, the cancellation policy added or edited in the booking will not be visible to the Traveler. This gives users control over what information is shared with travelers.

To make the Supplier cancellation policy visible to the Traveller, follow the below steps:

1. Go to the Itinerary Preview tab.
2. Click the 3 dots on the top right corner and select Customise display.
3. In Cancellation policy dropdown select Show cancellation policies.
4. Click Save.

The Cancellation policy in the Edit Booking section will now be visible in Itinerary Preview, Itinerary PDF and Privately and publicly shared itineraries. 

Note: Refreshing services from the Preview tab will not pull the Cancellation policy from the Supplier. i.e. the Cancellation policy in the Edit Booking section will remain unchanged.
