Pricing Notes for Price Adjustments

The Pricing Notes feature helps users keep a clear record of why a price was adjusted for an item. This provides better visibility for internal users, other team members, and travellers by documenting the reason behind pricing changes.

Pricing notes can be added directly within the Edit Pricing dialog and are visible from the Pricing tab, Price History, and also synced to Zoho for reporting purposes.

Pricing notes can be added via the Edit item price dialog for each item in the Pricing tab. After opening the dialog the lower section includes:
  1. Pricing Notes section
  2. A single-line text field with a maximum of 255 characters
  3. A check box for displaying the pricing note in publishing 
Note: The Show pricing notes… checkbox is deselected by default. This allows users to optionally control whether pricing notes should be shown where applicable.

Add a pricing note 

To add a pricing note to an item, open the respective Edit pricing dialog:
  1. Navigate to the pricing notes section
  2. Type in your note in the Pricing note field
  3. If you wish to display the pricing note in the inclusions section of the preview or export select the checkbox
  4. Click Save
Note: To maintain a complete audit trail of pricing decisions pricing notes are stored in the item’s Price History.

Visibility of pricing note on the Pricing Tab

When a pricing note is added and saved the pricing notes icon appears for that item in the pricing table. The icon is displayed next to the item’s price. The icon works as a visual identifier the pricing note exists and also provides quick access to quickly review the reason for a pricing adjustment without reopening the pricing dialog via a hover toolitip:
  1. Hovering over the icon displays the saved pricing note in a tooltip.

Visibility of pricing notes for Travellers

Pricing notes can be shared with travellers through itinerary documents when required. This allows users to explain item-level price adjustments directly within traveller-facing documents such as previews, PDFs, Docx exports, Google Docs, and itinerary summary PDFs. Visibility of these notes is controlled using the Show pricing note checkbox in the Edit Pricing dialog.

If a pricing note is added and the Show pricing note checkbox is selected the pricing note is included in traveller-facing pricing sections. It appears within the Pricing section under both:
  1. Inclusions
  2. Optionals
This applies to:
  1. Public and private share links
  2. PDF export
  3. Docx export
  4. Google Docs output
  5. Itinerary Summary PDF
Note: When a pricing note is added but the Show pricing note checkbox remains unselected the he note does not display in traveller-facing pricing sections. 

ZohoAnalytics Synchronisation

When viewing the MinimPurchaseItemDetail table in Zoho:
The "pricing_notes" field is available as a column

This allows pricing notes to be used for reporting, auditing, and operational visibility outside the itinerary.
