Importing and exporting contacts lets you move contact data between Tourwriter and external systems using CSV files. Use it to bulk-add travellers, agents, or suppliers, or to extract your contact list for use in other tools.

Importing contacts

Before you start

Download the correct template for the contact type you are importing. Tourwriter has separate templates for travellers, agents, and suppliers — use the one that matches your data.

You can import a maximum of 100 contacts per file. If an import fails, no contacts are added. The entire file must be valid for any records to be created.

Required fields

First name and last name are mandatory for every contact. All other fields are optional.

Formatting requirements

Follow these rules when completing the template:

Dates — use YYYY-MM-DD format (for example, 1985-03-22).

Gender — use lowercase only: male, female, non-binary, or prefer_not_to_say.

Source — use lowercase with underscores for multi-word values (for example, trade_show).

Country and language — use ISO codes (for example, GBR for Great Britain).

How to import

  1. Go to Contacts in the navigation menu.
  2. Open the Import/Export dropdown and select your contact type: Travellers, Agents, or Suppliers.
  3. Download the template for that contact type.
  4. Complete the template with your data.
  5. Rename the file before uploading.
  6. Tick the consent checkbox to enable file selection.
  7. Select your completed file and upload it.

Contacts are sorted alphabetically by first name once the upload completes.

Exporting contacts

To export your contacts, go to Contacts, open the Import/Export dropdown, and select the contact type you want to export: All travellers, All agents, or All suppliers.

Tourwriter generates a CSV file for download.

What to expect in the export

Each export covers one contact type. To export all contacts, you will need to run three separate exports. Any fields left blank in Tourwriter will appear blank in the CSV. Country and language fields export as ISO codes (for example, GBR for Great Britain).

Exported files are compatible with email marketing platforms such as Mailchimp.
